For any business relationship to be successful, the foundation must be built early on. Over time, ECCA has established an implementation system to insure precise and timely conversions. With any new customer, ECCA is prepared to begin the conversion process immediately. However, it is recommended that the conversion process start 30 days prior to the first payroll. If a situation arises, ECCA can easily and reliably be prepared to process payroll in as little as two weeks. The ECCA conversion and implementation process follows these steps: - An initial client conversion meeting is held to gather all necessary company demographic information to facilitate the company setup.
- The company database is setup and all employee master file information is entered into the system.
- All employee quarter-to-date and year-to-date wage details are recorded.
- The company and employee setup is audited while all employee wage and tax information is reconciled and balanced.
- The client is provided with a set of conversion reports, including employee master file data and detailed earnings information.
- ECCApcinput software and client database is installed onto the client computer system. ECCA certifies the proper operation of the system.
- ECCA trains, coaches, and supports your first payroll run. Register prior to processing enables preview of results prior to submission for processing.
- Termination notice to prior payroll provider is prepared.
- ECCA assumes full responsibility for all quarterly and annual reconciliations and tax filings which includes producing employee W-2s.
The most important aspect of the installation and conversion process is ECCA’s philosophy of service. We understand that our success depends on meeting our customers’ needs and expectations. We treat each customer as a business partner. Starting from the first day of our agreement, we design our system around your requirements rather than asking you to fit your company into a "predefined package".
